Ashgrove Property Services let and manage unfurnished houses and flats throughout Gloucestershire. Please note that for your safety and peace of mind –

  • All of our managed properties are gas safety certificated, and inspected for electrical safety.
  • Security deposits (bonds) are held in an approved Deposit Protection Scheme in accordance with legal requirements.

Looking for a property to rent

The first step is to contact Ashgrove Property Services and provide brief details about yourself and the accommodation you require. We then search our database for suitable properties for you to view. If not urgent, we log your details so that we can contact you as suitable rental properties become available. It is wise to start looking for a property about a month before you wish to move, as properties are viewed and reserved quickly. Our tenancies are granted for a minimum term of 6 months.

Property viewings

Viewings can be arranged at times to suit you, including evenings and weekends, and you will be accompanied by a member of staff, who can give advice and answer any questions you may have.

Reserving the property

Once you have decided on a property, you will need to reserve it by paying a ‘holding deposit’. Assuming that the tenancy goes ahead, this will be deducted from the monies due before you move in. If the landlord declines to grant the tenancy, it will be refunded, less any deductions. However the deposit will be forfeit if you decide not to proceed for any reason, or if you fail to provide complete and accurate information in your application.


As a minimum we will require satisfactory references from your employer, and a previous or current landlord. We may also require a personal reference, and sometimes a guarantor. In addition a credit check will be undertaken. We may use the services of an independent referencing company to obtain and evaluate these references. Right to rent checks will be made and charged for separately.


Rents are normally quoted calendar monthly, and payable monthly in advance. The tenant is usually also responsible for Council Tax, Water Rates, Gas, Electricity and Telephone costs. All rents are payable by bank standing order to our company bank account.


A security deposit of a minimum of one month’s rental must be paid, and will be held by Mydeposits throughout the tenancy. (Details of mydeposits can be found at This is held to cover damage, breakages, and any other liabilities under the terms of your tenancy agreement. Please note that under no circumstances can the deposit be used by the tenant to cover rent.

Insurance for Tenants

We are able to provide leaflets on a variety of insurance policies for both landlords and tenants, including the following:-


Up to your selected sum insured for damage to your household furniture, carpets, equipment, furnishings, clothing and personal possessions whilst in your home (excludes business equipment). This is highly recommended.

Landlord’s Contents

Up to £2,500 for accidental damage to your landlord’s contents, fixtures & fittings for which you are responsible.

Personal Possessions

Up to your selected sum insured for loss or accidental damage to your clothing, watches, jewellery, spectacles, other valuables (excluding mobile telephones) and pedal cycles whilst away from your home anywhere in the UK or whilst temporarily elsewhere in the world. Theft from unattended vehicles must be from a locked boot.

Tenant Fees

When you apply for a property you will be required to pay a commitment(holding) fee of £200.00. This is non-refundable if your application is withdrawn or you fail the referencing criteria, and will be used to cover costs incurred by Ashgrove Property Services. If the application is successful this amount will be deducted from the total cost of the set up fees.

Set up Fees (Tenants share): £250.00 for up to two tenants
Additional Tenant Fees (if more than two tenants): £50.00 per tenant to include:

Financial checks, ID & residency checks, obtaining references, confirming employment status and earnings, current and/or previous Landlords reference and any other information to assess suitability and affordability. Contract negotiations and drawing up a tenancy agreement, and providing a copy of the Inventory & Schedule of Condition.

Guarantor Fee (if required): £50.00 to include:

Financial checks, ID & residency checks, obtaining references confirming employment status and earnings and any other information to assess suitability and affordability and Deed of Guarantee.

Security deposit: This is normally equivalent to one month’s rent plus £100.

Pet Fee if applicable: £250.00 for up to two pets

To cover the cost of fumigation if required at any time after the tenants have vacated and the deposit returned. This fee is non Refundable.

Change of Start Date or Terms to Agreement: £50.00

If the documents have already been prepared and printed and any changes are requested by the tenants.

We reserve the right to charge a fee for chasing any rents that are received more than three days late from the due date.

Additional charges may be made during the tenancy, if applicable, as follows:

Each Uncleared cheque/declined standing order £30.00
Each Lost keys call out £35.00
Each late rent payment £30.00

Early release from tenancy
If you want to leave the property before the end of the tenancy, the landlord may agree to this, but may ask you to continue to pay the rent and all household bills until the date a new tenant moves in or your tenancy comes to a natural end, whichever is the sooner. You may also be asked to pay reasonable costs in re-letting the property.

At the End of Tenancy

Check out fee: £30

Meeting at property to go through inventory and check condition of property. Take final utility readings, return of keys.
